Hello IQ teams,

Saturday, Feb 25th Eastern PA State Championship VEX IQ Challenge "Pitching In" Event Information. There are many important items covered in this email and several require action from you. If you have any questions, please email contact@vexmen.com

General Volunteers

As a 100% parent volunteer organization, we need lots of help to host these events and every team will need to volunteer to help at some event this year. There are plenty of non-technical, technical, beginner and experienced volunteer positions available. Skills Head Ref, Score Keeper & Judging Volunteers

We are looking for Skills Head Ref, Scorekeeper and Judging Volunteers. We are looking for judges who have some experience and NO affiliation with any IQ teams / organizations. For Scorekeepers, we are looking for people who have done it this year. State Shirts

We are thrilled to announce that Fine Design? (RECF Partner) will be onsite selling shirts. They accept, CC & Cash. Please see the attached Eastern PA IQ 2023 logo and flyer.

NEW - Creativity Award

The following is a CUSTOM award just for our states event. It does NOT qualify your team for Worlds. This is NOT an official Vex or RECF award. It’s a fun award that everyone gets to participate in!

Description: The Creativity Award is given to a team that shows energy, enthusiasm, creativity (of course), and spirit. This team is chosen by their fellow peers and event volunteers. The reasons can vary from cheering on other teams, decorating their robot boxes, wearing a costume, decorating their pits, etc.

Criteria: Each team will be given a pre-printed slip of paper that they can nominate another team. It will also leave a few lines for a reason why the team was nominated. Nominations would be due by the end of lunch so that event admins have time to sift through the nominations and come up with finalists. From there, event admins and other volunteers can select a final winner, which will be announced at the end of the day.

Award: It’s a surprise!

Event Details

Please have your teams arrive at our Marsh Creek 6th Grade Center when the doors open. Teams not checked-in and through inspection by the Event Meeting will not compete!

Please bring:

• Robot and Controller

• All Robot Batteries and chargers (make sure to charge your joystick through the USB port)

• Laptop computer with Charger, Programming cable, Vex Code? installed, and your programs (if your team is that far along)

• Spare Robot Parts

• You are welcome to bring your own food and drinks, but we will have a snack bar with options (see below)

• Cash for food

We are planning to have a total of 7 fields operating at our event. All the fields will be raised. Each team will be permitted 3 attempts at each skill (Drivers/Programming).

7:45 doors open for volunteers

8:00 - 9:00 Check In & Inspection

9:00 Event Meeting – This will take a little longer because it’s states

9:40 Teamwork Matches Part 1 (8 matches)

12:00 Lunch (all fields closed)

12:45 Skills on all fields

1:45 Teamwork Matches Part 2 (4 matches)

3:15 Playoffs

3:45 Awards

4:00 Clean Up

Please be aware:

- There are 1 dedicated session for skills. This will give teams ample time to run their skills, judging interviews, charge batteries, scout, etc.

- We will try to have a few extra charged batteries on hand for any teams that require them

- The top 10 teams / 5 alliances from each division will make it to the playoffs

- We MAY switch the number of matches to 7 matches in the morning and 3 matches in the afternoon

Robot Inspections:

Please be confident that your robot will pass inspection before arriving

We expect the robot Inspection stations to close promptly at 9AM

Especially ensure that your robot meet this year’s maximum size requirements!

Teams that have not passed inspection by 9am will not be added to the competition schedule unless it is for a minor infraction and we are 100% confident that the robot will pass re-inspection

Food:

We will have a snack bar and lunch available throughout the day (sample menu below). Whole Pizzas & Chick-fil-A will only be guaranteed available if pre-ordered at time of check-in. Money for pre-orders will be collected Saturday morning at the concessions area. Pre-orders will close at 10 AM!

Notebooks & Judging:

At this time only electronic notebooks will be accepted for Judging. They must be submitted no later than Thursday, February 23rd @5:00 PM. To submit your notebook, make sure your digital notebook link is added to your robotevent team profile. RECF rules do NOT allow us to physical notebooks. In person interviews will be conducting in the pits during the competition.

Our event will be held at the DASD Marsh Creek Sixth Grade Center. For the easiest access to the building, all attendees and teams should enter through the Busses Only entrance located at:

395 Dorlan Mill Rd.

Downingtown, PA 19335

Note that Marsh Creek is behind Shamona Creek Elementary School as shown in the photo below.

When entering the building, use the door farthest to the right on the front of the building.

Weather:

Right now we see no weather issues in the forecast!

Delayed arrival teams:

If your team will be delayed to the event and will not arrive by 8:30am, please contact Bimal Patel on his Mobile at 610-425-0493. If I do not answer, please leave a voicemail with your expected arrival time as mobile service is very limited in the school.

Match Schedules:

Teams are expected to bring their robots to the field ready to play. In order to keep the event moving along, matches will not be held up for teams that are not to the field on time.
